Overview
Brook AI, LLC ("Brook," "we," "us") provides uptime monitoring and quality checks for voice AI agents. To do that, we place test calls to the phone numbers you ask us to monitor and tell you whether your agents are working.
This policy explains what we collect, why, and the choices you have. We aim to collect as little as possible — only what a health check genuinely needs.
Information we collect
We collect information you provide and information generated when we run checks on your behalf:
- Account details: your name, work email, company, and billing information.
- Monitoring configuration: the phone numbers you add, your test questions, schedules, and expected answers.
- Check results: pass / fail verdicts, latency, timestamps, and transcripts of what your agent said.
- Alert routing: the email addresses, Slack or Discord destinations, and custom HTTP endpoints you connect.
- Usage and device data: standard log data such as IP address and browser type, used to keep the product secure and reliable.
How we use information
We use the information above to:
- Run the test calls and checks you configure, and score the results.
- Notify you when an agent fails or degrades, through the channels you choose.
- Provide live status pages you choose to share.
- Maintain, secure, and improve the service.
- Communicate with you about your account, billing, and support.
Call data & transcripts
Because Brook talks to your agents, our checks generate transcripts of the agent's side of the conversation. We use these to score greetings and answers and to show you what a caller would have heard.
We do not retain raw call audio without your explicit opt-in. Transcripts are stored only for the retention window you configure, and you can export or delete them at any time.
Sharing & subprocessors
We do not sell your personal information. We share data only with service providers ("subprocessors") that help us operate Brook — for example, cloud hosting, telephony carriers used to place calls, and payment processing — under contracts that require them to protect it.
We may also disclose information if required by law, or to protect the rights, safety, and security of Brook, our customers, and the public.
Data retention
We keep account information for as long as your account is active. Check results and transcripts follow the retention window you set on your plan. When you delete data or close your account, we remove it from production systems and purge backups on a rolling schedule.
Call recordings, transcripts, logs, and analytics data are retained for up to 90 days. Data older than 90 days will be automatically deleted from our systems.
Your rights
Depending on where you live, you may have the right to:
- Access the personal information we hold about you.
- Correct inaccurate information.
- Delete your information, subject to legal obligations.
- Export your data in a portable format.
- Object to or restrict certain processing.

Security
We protect your data with encryption in transit and at rest, least-privilege access, and continuous monitoring. No system is perfectly secure, but we work hard to earn your trust. You can read more on our security page.
International transfers
Brook operates from the United States and may process data in other countries where we or our subprocessors operate. Where required, we use appropriate safeguards for international transfers.
Changes to this policy
We may update this policy as the product evolves. When we make material changes, we'll update the date above and, where appropriate, notify you. Continued use of Brook after an update means you accept the revised policy.
